The Flexcard Allocation service allows UCSB employees who have authority to purchase goods and services for their departments use FlexCards, a visa procurement card issued by the U.S. Bank, for those purchases.

A VPN, or Virtual Private Network, is an alternative to a truly private network, where someone completely owns the infrastructure (i.e., wires) between locations and no one else can use it. Typically a VPN is used when some part of the network path crosses a public network such as the Internet or, in the case of wireless, "airspace." A VPN may also be used to provide additional security on private networks. The VPN builds an encrypted "tunnel" through a public/private network which provides the necessary confidentiality (this prevents snooping), sender authentication (this prevents identity spoofing), and data integrity for secure access to private resources.

Malware is a serious threat to faculty, students, and staff. Preventative software is essential to protecting Windows and Mac OS PCs and laptops and Linux and Windows servers. The Office of the CIO acquired licenses for Sophos endpoints and servers. These licenses are distributed to departmental IT organizations where they are made available to end-users.
Multi-factor authentication (MFA) makes it much harder for hackers to access your UC Santa Barbara information and accounts. Even if someone has stolen your passphrase, they will need a "second factor" - in most cases a temporary numeric code, to access your account. UCSB has partnered with Duo Security, a system that makes it easy for you enable MFA.

BFB IS-3 Information Security (http://policy.ucop.edu/doc/7000543/BFB-IS-3) is the systemwide information security policy that was ratified in late 2018. The policy is supported by 9 standards and several interpretive guides. All IT staff should familiarize themselves with the policy and the standards. IT activity, especially the creation or update of shared services, must be conducted according to the policy.

The SiteImprove contract with UCOP provides a system-wide tool for testing web accessibility. All UC campuses can use the SiteImprove tool to test and monitor compliance with web accessibility standards.

Smartsheet is a software as a service application for collaboration and work management. It is used to assign tasks, track project progress, manage calendars, share documents, and manage work, using a spreadsheet-like user interface. Smartsheet supports GANNT, KANBAN, and other views, integrations with Google, Office and other products, Android and IOS clients. There are over 400 UCSB accounts in SmartSheet and the tool is used extensively for campus IT projects including the Connect email migration and NHDC improvements.

Transfer of Expense (TOE) is a campus application allowing the transfer of expenses from one chartstring to another.
Transfer of Funds (TOF) and Transfer of Soft Funds (TOSF) allow transfers of permanent and current expenditure funds from one chartstring to another. This includes TOF and TOSF for Contract and Grant funds.
Employees who incur Travel and Entertainment expenses can use the UCSB Travel Application to:
- Request a Trip ID for Direct Bill Airfare (formerly known as DBAN)
- Create travel advance requests (webTAR)
- Request travel reimbursements (webTEV)
Each department, or its Administrative Support Center, should designate one or more travel coordinator(s). They will be responsible for distributing information regarding the Travel Program to departmental travelers and travel arrangers. Travel coordinator(s) also troubleshoot travel-related issues on behalf of the department.
Communications Services manages access to the UCSB 800MHz radio frequencies. Two-way radios are an important part of the campus's life safety services. To avoid interference with those services, departments must consult with Communications Services before purchasing any two-way radios or bringing them onto campus for use.
